Instructions

Prerequisites:
  • n8n Cloud account or a self-hosted n8n instance
  • Google Sheets OAuth2 API credential — connects n8n to Google Sheets to retrieve appointment records and update review statuses
  • Gmail OAuth2 credential — sends review requests and alerts and monitors customer replies
  • OpenAI API credential with active billing — generates review requests and analyzes customer sentiment
  • Google Business Profile with a direct review link
  • PDF reader

Download the package Download the n8n workflow file, Google Sheets template, and PDF setup guide. Create the tracking spreadsheet Open Google Sheets and import Agent_Review_Star_Spreadsheet_EN.xlsx. Prepare the spreadsheet Delete the sample customer row, keep all column headers unchanged, and copy the spreadsheet URL. Create an OpenAI API key Sign in to the OpenAI API platform, generate a secret API key, and ensure billing is active. Import the workflow into n8n Create a new n8n workflow and import Agent_Review_Star_Workflow_EN.json. Connect OpenAI Add your OpenAI API credentials to both OpenAI Chat Model nodes. Connect Gmail Authorize your Google account and apply the Gmail credential to the email and reply-processing nodes. Connect Google Sheets Connect Google Sheets Create a Google Sheets OAuth2 API credential in n8n. This credential is used to connect the workflow to Google Sheets, retrieve appointment data from the Reviews worksheet, and update review-request and response statuses. Customize the workflow Replace the following placeholders: [Practice Name] [INSERT GOOGLE MAPS REVIEW LINK] [OWNER_EMAIL] Test the review request flow Add a test customer with yesterday’s appointment date and your own email address, then run the workflow. Test sentiment routing Reply to the test email with positive or negative feedback and confirm that the correct response or alert is sent. Activate the workflow Turn the workflow on in n8n. It will automatically check for eligible appointments every day at 10:00 AM. Add new customers after appointments Enter customer details in the first five spreadsheet columns. The agent will handle review requests, sentiment analysis, routing, and status updates automatically.
